How Chauffyr runs group transportation
Group transportation at Chauffyr is the convoy-and-coordination product: three or more vehicles under one booking, one project manager, one invoice, and the full dispatch choreography that moves a government delegation, an incentive group, a political campaign or a touring artist's party through a city on schedule. Where private group transportation is one Sprinter and one chauffeur, group transportation is the multi-vehicle operation around it — staging, protocol seating, shadow vehicles, luggage transport, and the handoff between airports, hotels, venues and FBOs. The desk assigns a named project manager for the duration of the programme and runs a daily operations call where recurring moves repeat; nothing improvises on the ground.
What a group booking actually looks like
A twenty-person delegation arriving on one international flight is not a single car with a sign at the door. It is a staging plan — two Executive Sprinters at the airport's permitted meeting point for pre-booked cars, two sedans for principal plus close staff, one SUV for luggage transfer where airport authority allows, and a project manager at the baggage carousel coordinating by radio with the dispatch desk. Boarding sequence is pre-set, luggage tags are read against a manifest, and vehicles depart in order with the convoy sequence briefed to each chauffeur before guests get in. Chauffyr runs the programme on a published run-sheet that the client sees twenty-four hours before each day.
Several vehicles, one dispatch plan
When a group splits across several vehicles — principals in a sedan or SUV, the wider team in an Executive Sprinter, luggage in a separate SUV — the desk dispatches them as one booking with a shared run-sheet, so every chauffeur knows the order of pickups and drop-offs. Chauffyr provides chauffeured vehicles only; if your organisation brings its own staff or travel coordinators, the desk plans pickup points and timings with them in advance.

Multi-day, multi-city programmes
Chauffyr handles multi-day visits as a single programme rather than a stack of day bookings. One run-sheet, one project manager, one consolidated invoice at the end — but on the ground, each day gets its own choreography. Hotels change, venues change, principals peel off for private meetings, and the project manager coordinates a dozen moves per day without any one chauffeur needing to improvise. For political campaigns and private-equity roadshows, the same programme model stretches to multiple cities with handoffs between Chauffyr's vetted local affiliate operators under one US-based project desk.
Discretion and seating plans
Chauffeurs are briefed before day one on the seating plan, the exit doors and any no-photograph rules you set for the programme. NDAs and confidentiality agreements are available on request for government and VIP clients. Named signs are left off by default unless you ask for them.
Policies — hourly structure, overrun, cancellation
Group bookings are hourly per vehicle with a four-hour minimum (six hours for Sprinters), 15-minute increments after. The chauffeur stays with the vehicle at every stop. Programme overruns are quoted live before they happen so the client approves them in writing, not by surprise. Cancellation on multi-vehicle programmes is tiered — free up to 48 hours out, 50% inside 24 hours, full inside 12 hours; the project manager flags the exact window on the booking confirmation. All quotes are upfront USD, inclusive of tolls, airport fees and fuel.
On-the-ground project management
Every multi-vehicle Chauffyr group programme has a named project manager on the US desk and, for programmes over four vehicles, a local on-the-ground lead at each city. The project manager builds and distributes the run-sheet twenty-four hours before each day, briefs every chauffeur on the seating plan, and runs a live radio net on event days. For arriving delegations at a US airport, the project manager personally stands at baggage claim with a client-side counterpart, matches the manifest, and loads the convoy in the pre-briefed order. For departures, the same project manager owns the hotel-to-FBO or hotel-to-commercial-airport sequence, confirms all luggage on manifest, and signs the day off only after wheels-up or last-vehicle release.
